Keys To Keeping Your Dealership Information Secure
Dealertrack utilizes some of the most advanced technology for Internet security available today. However, we need your help to keep your dealership and customer information secure. In order to assist you, we’ve provided the following security guidelines:
EACH USER IS REQUIRED TO HAVE THEIR OWN ACCOUNT
Dealertrack requires that your DIO (Dealer Information Owner) provide a unique Login ID for each user at your dealership. The account that is set up for your use has certain privileges that are associated with your job responsibilities. Do not share your Login ID and password with anyone.
KEEP YOUR LOGIN ID AND PASSWORD SECURE
Do not write your Login ID or password on a sticky note, desk blotter or calendar. This will allow anyone walking through your dealership to obtain your Login ID and password and use it in an unauthorized manner to gain access to your dealership and customer information. Any misuse of your account is tracked back to you and you will be held responsible for these actions.
Additionally, no one at Dealertrack, or at any of our subscribing financing sources, should ever ask you for your password. Your password is your personal information and should not be shared with anyone. The information you have access to is confidential and proprietary to the dealership you work for and is not intended to be accessed or viewed by non-dealership users.
REMOVE TERMINATED EMPLOYEES ACCESS
Upon separation of an employee; the DIO(s) should delete the profile of the terminated/separated employee immediately from the Dealertrack web site. This prevents unauthorized access to the information on the web site by that individual.
CHANGE YOUR PASSWORD OFTEN
We require that all users change their passwords every 90 days. However, if you feel that someone has access to your password, change your password immediately through the ‘Change Password’ function on our site.
NEVER E-MAIL CUSTOMER ‘NON-PUBLIC PERSONAL INFORMATION’ TO ANYONE
E-mail over the Internet is not deemed ‘secure.’ Never e-mail customer information to anyone, and that includes you. Non-Public Personal Information includes customer name, address, social security number, income or other personal information listed on a loan application.
PHONY “LOOK-ALIKE” WEB SITES
Phony “look-alike” web sites are designed to trick users into entering their Login ID and password. Once this information is entered into a “look-alike” web site, your Login ID and password may be used to conduct fraudulent activities. Always make sure that you are on www.dealertrack.com or login.dealertrack.com before entering your Login ID and password.
LOG OUT
Be sure to click the “Log Out” link when you are finished using Dealertrack. This will help to prevent unauthorized access to your dealership’s information in the event that you leave your computer unattended. Remember, any misuse of your account is tracked back to you and you will be held responsible for these actions.
REPORT UNAUTHORIZED ACCESS
If you feel that someone has accessed your account in an unauthorized manner, send an e-mail to security@dealertrack.com
